DOCUMENT CONTROL (Base XISOX System)
The basic configuration starts with Document Menu and Document Control modules.
It also includes the Admin module for setting up users, roles, permissions and for
customizing the software. The functionality can be further extended with
ISO Management modules.
DOCUMENT MENU Module
The Document Menu module is for viewing and printing documents available on the
XISOX system. This module is also the point of entry to the whole XISOX system.
- The list of documents available in the menu may be different for each user. Only
those documets for which the logged-in user has viewing permissions appear in his
or her document menu.
- Only ACTIVE documents are available in the document menu.
DOCUMENT CONTROL Module
- Use PDF (Adobe Acrobat) document format.
- Organize documents into categories (max 25).
- Can have unlimited number of revisions for each document. Revisions can be ACTIVE,
DRAFT or ARCHIVE.
- Set document viewing permissions (only authorized users will see the document in
their Document Menu).
- Set document editing/approval permissions.
- Automatically generate document headers and footers with document control and approval
information.
- Upload and maintain on the server your master files (MS Word, for example) from
which your PDF files are made.
- All uploaded documents are converted to binary and are saved in the database for
enhanced reliability, security and easy backup.
- Can also use this module to control documents in hard media (paper, CD Roms, samples,
etc.)

- Are there
any documents pre-loaded into XISOX?
You can get XISOX with or without pre-loaded template documents. The optional template
documentations we offer are Jack Kanholm’s systems for ISO 9001, ISO 14001, TS 16949,
and ISO 13485. When pre-loaded into XISOX, these template documentations are specially
adapted to seamlessly reside in the XISOX software (Jack Kanholm is also the architect
of XISOX).
- What
document file formats are supported?
You can create your documents in any software (MS Word, Excel, PowerPoint, CAD,
etc.) and then convert the documents to PDF (Adobe Acrobat Reader) files before
uploading them to the server. Converting files to PDF takes care of the potential
problem with people not having on their computers the same kind of software that
you used for creating the document. Also, PDF documents are read-only, e.g., cannot
be changed.
- Can XISOX
also help me manage my master
files?
As an optional feature, you can also upload to the server your master file of the
document (MS Word, for example). This file will not be accessible to other users,
but will be kept and backed up together with the PDF file.
- Can I use
XISOX to control documents in other media?
XISOX can control documents in any media, whether an electronic file, CD disk, paper,
photograph, or a workmanship sample.
- How does
XISOX control paper documents?
For paper, CD disk, and other hard media documents, XISOX controls the document
by maintaining the document’s control record and distribution list. There is no
file to upload.
- Can XISOX
send emails to notify others of document changes, approvals, etc.?
No, XISOX does not currently have the capability to email notifications. We plan
to implement this feature in the near future.
- Can I have
multiple revisions of the same document?
Yes. You can have one 'Active' revision and unlimited number of 'Archive' and 'Draft'
revisons.
- What does
it take to migrate an existing documentation into XISOX?
You just save your documents as PDF files, create a document control record for
each document, and upload the files to the server. This will take between three
to five minutes per document.
